What is UCaaS?

Also called unified communications as a service, unified communications

UCaaS, Unified Communications as a Service, is a subscription that bundles the channels a business communicates on, voice calling, video meetings, team messaging and presence, into a single hosted platform with one directory, one admin console and one bill.

What the "unified" part is meant to buy

The argument for UCaaS is that separate tools create seams. If the phone system, the video tool and the chat tool each keep their own user list, a new hire has to be created three times and a departure has to be revoked three times. When they share a directory, presence works across all of them, a chat can escalate to a call without redialling, and there is one place to look when something breaks.

What to check before buying

The most common unpleasant surprise is feature gating: a headline per-user price that turns out to exclude the contact centre, call recording or the integrations you assumed. The second is contract length, since annual commitments are common and make it expensive to be wrong. Ask which features are in the advertised tier, what the overage rates are, and what happens at the end of the term.

UCaaS and CCaaS are not the same thing

UCaaS is for everyone in the business talking to each other and to customers ad hoc. CCaaS, Contact Center as a Service, is for teams whose entire job is handling queued interactions, and it adds skills-based routing, workforce scheduling, quality monitoring and reporting built around service levels. Plenty of vendors sell the contact centre as a separate product at several times the per-seat price, so if you have a support desk it is worth establishing early whether that capability is included or is the upsell.
